Email Migration to Office 365 Notes

Starting January 2018, VCCCD Information Technology will begin the process of migrating all on-premise VCCCD employee mailboxes to Office 365 cloud.  Mailbox migrations will be coordinated with staff accordingly.  Here, we will be providing notes to ease transition to the cloud.

Outlook Software

After email migration completes, you will be prompted by Outlook to re-open Outlook.  When prompted for username and password, you might be prompted for MyVCCCD portal login and password.  This is expected and please login to the portal with regular portal username and password.  If prompted for username and password otherwise, please use your full email address for the username.

Skype for Business or Lync 2013

After email migration completes, close and re-open Skype for Business when prompted by Outlook to re-open.  You may be prompted for MyVCCCD portal login.  This is normal and expected.  Please login to the portal with portal username and password.

Outlook Webmail or Outlook Web App

The new web address for Outlook Webmail is https://outlook.com/owa/vcccd.edu .  If you receive the error "We couldn't find a mailbox for this recipient," please clear the browser cache and cookies.

Smartphone

If email fails to update, try changing the username and server fields for the account settings on the smartphone.  Try full email address for username (username@vcccd.edu).  Try changing the server to outlook.office365.com. If it still fails to connect, remove and re-add the email account.

Known Issues

When performing "reply to all" to messages prior to the migration, you will find your email address in the reply to all.

Post migration, if this error appears when using the Outlook Webmail icon from MyVCCCD, please clear your browser cookies (or at minimum owa.vcccd.edu) and then try again.

Post migration, if shared calendars are behaving strangely like disappearing and re-appearing, please coordinate with campus IT staff to check and apply the following.  Check that both the person sharing the calendar and the recipient have Office 2016, specifically version 1805 (Build 9307.2004) or later.  Upgrade accordingly.  Then have the person sharing the calendar re-share with recipient.
