Email Quota
Since we do not have an unlimited amount of storage on the vcccd email server, account quotas are set to remind you to perform housekeeping when the size of your account reaches a certain point. The data in your account ( mail, calendar entries, to-do items, etc. ) are all stored on a server at the DAC data center and it all counts towards your account quota. This includes everything in Folders and Views so simply moving messages out of your in-box into a folder will not free up any space. The only way to free up space is to delete items from your account.
By default, a copy of every message you send is saved and can be viewed
by opening your Sent view. A good way to free-up space is to remove old
copies of Sent mail, particularly those with attachments. Sorting your
mail file views can make this task quick and easy.
Lotus Notes Example:
- Select the Sent view.
- Sort the view by Size so that all the largest sent messages are together at the top of your screen.
- Select the messages that you wish to delete by placing a check in the selection column.
- Click the delete button.

DWA Webmail Example:
- Select the Sent view.
- Sort the view by Size so that all the largest sent messages are together at the top of your screen.
- Identify the documents that you wish to delete by highlighting them. This is done with the mouse. On a windows based PC, you can select multiple documents by holding down the Ctrl key on your keyboard. You can also hold down the Shift key to select all documents between two points.
- Once you have selected the documents you wish to delete, click the trash icon.

Standard Webmail Example:
- Select the Sent view.
- Sort the view by Size so that all the largest sent messages are together at the top of your screen.
- Identify the documents that you wish to delete by checking the box.
- Once you have selected the documents you wish to delete, click the delete button.

Trash:
Items that are deleted are placed in the trash. Items in the trash are automatically deleted from the system after 48 hours. Please note that items in your trash still count towards your quota. If you are receiving quota warnings, please empty the trash after you clean out your account so that you don't have to endure 48 more hours of quota warning messages.
